# How to connect your CRM to 800.com

Connect your CRM to 800.com to send call data straight into your customer records. Each time someone calls, 800.com can create a new record for a new caller, or log the call on an existing one, so your team always has the full picture without manual data entry.

800.com connects with these CRMs:

| CRM | New callers are added as | Each call is logged as |
| --- | --- | --- |
| **Salesforce** | Contacts or Leads | Activities |
| **HubSpot** | Contacts | Engagements |
| **GoHighLevel** | Contacts | Conversations |
| **Zoho CRM** | The record type you choose | Your choice of call log type |
| **Any CRM that accepts ADF XML** | Leads sent to your CRM's email inbox | Not applicable |

If an existing record matches the caller, 800.com adds the call to that record instead of creating a duplicate.

### Before you start

Make sure you have:

- **An active 800.com account with admin access.**
- **A CRM account with permission to create and manage records and integrations.** Your CRM login needs access to the record types the integration will create, such as contacts, leads and call activities.
- **For Salesforce:** a Professional, Enterprise or Developer edition, plus Salesforce admin permissions to create connected apps and manage API access.
- **For HubSpot:** a free or paid HubSpot account.
- **For ADF XML:** an email address from your CRM that accepts leads in ADF XML format.

To send Enhanced Caller ID details to your CRM, Enhanced Caller ID must also be turned on in 800.com.

#### Step 1: Connect your CRM

1. In 800.com, go to **Settings \> Integrations** to open the **Integrations Library**. For organizations, go to **Organization \> Global Settings \> Integrations**.
2. Find your CRM and click its icon. CRMs are listed in the **CRM & Lead Management** section.
3. Review the overview page, then click the sign-in or connect button, such as **Sign In with Salesforce** or **Connect Zoho CRM**.
4. Log in to your CRM when prompted.
5. Review the permissions 800.com is requesting, then approve them. Depending on your CRM, the button says **Allow**, **Connect App** or **Accept**.

After you approve access, you're returned to 800.com to set up your integration.

##### Extra steps for some CRMs

- **HubSpot:** After logging in, choose which HubSpot account to connect.
- **GoHighLevel:** If you're already logged in to GoHighLevel, log out and back in first so authentication works correctly. After reviewing permissions, choose a **Conversation Provider**, click **Next**, select the sub-account to connect, then select the providers to install and click **Proceed**.

#### Step 2: Choose your settings

On the setup page, choose how call data syncs to your CRM. Setting names vary slightly between CRMs, but they all work the same way.

##### What to create and when

| Setting | What it does |
| --- | --- |
| **Record type** (Contact, Lead or Record Type) | The type of record 800.com looks for when a call comes in. If no matching record exists, a new one is created. In Salesforce, choose Contact or Lead. |
| **Call log type** (Activity, Engagement, Conversation or Logs Calls As) | How each call is saved in your CRM. |
| **Sync timing** (Sync Timing or Upload Trigger) | Whether calls upload at the start or end of the call. We recommend **End of Call**, since it includes call duration and other post-call details. |

##### Which calls to send

| Setting | What it does |
| --- | --- |
| **Minimum call length** (Call Duration Threshold or Minimum Call Duration) | Only sends calls longer than the number of seconds you enter. Enter **0** to send every call. |
| **Receiving numbers** (Restrict by Receiving Number or Restrict To Receiving Numbers) | Only sends calls to the numbers you list. Leave it empty to send calls from all your numbers. |

##### Extra details to include

Depending on your CRM, you can also choose to:

- **Upload Enhanced Caller ID information**, such as company, location and carrier.
- **Upload UTM parameters** for marketing attribution.
- **Upload contact information.**
- **Attach call recordings** to the call activity, engagement or conversation.

**Salesforce** has two more options: create a Lead only when no matching Contact exists, which helps prevent duplicates, and upload only calls with a known caller ID, which filters out anonymous calls.

**Zoho CRM** also requires **Field Mapping**. Match each 800.com field to a Zoho CRM field for every record type. Required fields must be mapped for syncing to work.

### Activate the integration

When your settings are ready, click **Activate Integration** (or **Activate** in Zoho CRM). 800.com saves your settings, shows a summary, and starts sending call data to your CRM.

#### Step 3: Check that calls are syncing

After you activate the integration, place a test call to one of your 800.com numbers. Then open your CRM and check:

- **Your contacts or leads.** New callers should appear with their name, phone number, email (if available) and the date they were added.
- **The caller's record.** Open it to see the call in its activity history, with details such as call direction, duration and outcome, plus a recording link if you turned that on.

In **Zoho CRM**, you can also confirm the connection from 800.com. Under **Connection**, click **Verify**. A green message confirms the connection is working.

### Using a CRM that accepts ADF XML

If your CRM isn't listed, you may still be able to send it leads by email in ADF XML format. Many automotive and dealership CRMs accept leads this way.

1. Go to **Settings \> Integrations** (or **Organization \> Global Settings \> Integrations**) and click **ADF XML**.
2. Fill in the setup fields:
     - **Recipient Email:** The CRM email address that receives ADF XML leads.
     - **Vendor Name:** The vendor or dealership name to show on your leads.
     - **Provider Name:** The lead source, such as "Website," "Google Ads" or "Facebook."
3. Click **Activate**.

From then on, every new call that meets your lead criteria is sent to that email address as an ADF XML lead. There's no test button, so to check it, place a call to your 800.com tracking number and look for the lead in the recipient inbox.

### Manage your integration

#### Check its status

Go to **Settings \> Integrations** (or **Organization \> Global Settings \> Integrations**) and find your CRM in the Integrations Library. The banner on its icon shows the status:

| Banner | What it means |
| --- | --- |
| No banner | The integration isn't turned on. |
| **Active** | The integration is running and sending call data. |
| **Failed** | There's a problem with the connection. Check that your CRM login still has access. |

#### Change your settings

Go to **Settings \> Integrations** and click the **Manage** tab. Find your CRM, click the **Settings** icon or the **vertical ellipsis (⋮)** and select **Edit**, make your changes, then click **Update**. In Zoho CRM, click **Edit** on the integration page.

#### Renew your credentials

CRM credentials can expire over time. When they do, 800.com lets you know in the **Alert Center**. To reconnect, open the integration, go to **Connection**, click **Renew Credentials**, then **Renew**, and approve access in your CRM again.

#### Turn off or remove the integration

1. Go to **Settings \> Integrations** and click the **Manage** tab.
2. Find your CRM, click the **vertical ellipsis (⋮)** and select **Delete**. You can also open the integration's setup page and click **Deactivate Integration** (or **Deactivate**).
3. Click **Delete** again to confirm.

### Frequently asked questions

**Q: Will connecting my CRM create duplicate records?**
A: No. If a matching record already exists, 800.com logs the call on that record. In Salesforce, you can also choose to create a Lead only when no matching Contact exists.

**Q: Should I sync at the start or end of the call?**
A: End of call is recommended. It includes the call duration and other details that aren't available until the call is over.

**Q: Can I send only some calls to my CRM?**
A: Yes. Set a minimum call length to skip short calls, or limit uploads to specific receiving numbers.

**Q: My integration shows Failed. What should I do?**
A: Check that the CRM account you connected still has the right permissions, then renew your credentials or reconnect.

**Q: My CRM isn't listed. Can I still connect it?**
A: If your CRM accepts leads by email in ADF XML format, use the ADF XML integration.
